Introduction

A receipt with an integrated thank-you letter is usually generated in duplicate. The thank-you letter is positioned at the top of the page, followed by the two copies of the receipt.

The main advantage of the receipt with integrated thank-you is the paper savings it can provide, since only one sheet is sent to the donor (rather than a receipt and a letter on separate sheets).

On a standard receipt (reçu de type standard), the space reserved for the thank-you letter will always be the same from one letter to another. If the thank-you letter is shorter than the available space, the difference will be left blank. Receipts will therefore always be in the same place on the sheet.

On a Word-type receipt (reçu de type Word), the integrated thank-you letter is inserted as a merge field predefined in the master document. Therefore, there will be no specific space reserved for the letter in the master document. If the letter is too short, you will need to manually insert spaces by using the "Enter" key when composing the letter to ensure that the receipts are always in the same place on the page.

Receipt configuration

Before configuring the thank-you letter, configure the general settings for the receipt (configuration générale du reçu) and, depending on the case, configure a standard receipt (configuration d'un reçu standard) or a Word receipt (configuration d'un reçu Word).

Create or modify a thank-you letter for a receipt

To create or modify a thank-you letter for a receipt, from the software's main page, click on the "Configuration" menu, then "Thank-you for Receipts".

After clicking on "Thank-you for Receipts", the "Thank-you Management for Receipts" window will open.

A : Allows you to create a new integrated thank-you letter.

B : Allows you to edit an existing thank-you letter.

C : Allows you to delete a thank-you letter.

NOTE: It is not recommended to delete a thank-you letter. It is better to archive it.

D : This lists the thank-you letters already created in Prodon.


After clicking on the "Add" or "Edit/View" button, the "Edit/View Thank-you for Receipts" window will open.

A : Enter the name of the thank-you letter.

B : Allows you to archive the thank-you letter.

C : Allows you to add a thank-you letter to eReceipts. (Only visible if the "EReceipts" (Reçus Électroniques) module is active in Prodon.)

D : Allows you to select the type of receipt for which the thank-you letter will be used.

E : The Bouton flèche gauche.png and Bouton flèche droite.png buttons allow you to create thank-you letters in the different languages active in Prodon. F : Allows you to preview the receipt before confirming the addition or modification.
G : When writing the text, you can add merge fields. To do this, right-click in the text box and select the field you want to insert.


After filling out the "Thank-you" tab, click on the "Signature" tab.

NOTE: If the receipt with integrated thank-you letter is in Word format, the signature will not be integrated into the thank-you letter; it will need to be added manually to the master document.

A : Allows you to insert a signature on the thank-you letter (can be different from the one used on receipts).

B : Allows you to specify the position of the signature on the thank-you letter.

C : Allows you to specify the size of the signature.

D : Ensures that the dimensions of the signatures of the letter and the receipts are identical. This option is useful if the same signature is used for both the letter and the receipts.


Choice of thank-you letter to include with the receipt

To include a thank-you letter with a receipt, you must indicate which thank-you letter should be used for each donation occasion.

To activate a thank-you letter integrated into a donation occasion, from the software's home page, click on the "Transactions" menu, then select "Bouton occasion de don.png Occasions". The "Occasion management" window will open. Double-click on the opportunity for which a thank-you letter should be included with the receipt, and the "Edit occasion" window will open.

A : Select the "Thank-you" tab on the right.

B : Select the thank-you letter that will be used by default to activate the thank-you integrated into the letter.

It is possible to specify a single default thank-you letter that will be used most often. However, it may be necessary to use more than one type of thank-you letter for the same donation occasion. In this case, the thank-you letter to be used can be selected when entering the transaction. It is therefore possible to manually use different thank-you letters within the same occasion.


Inclusion of the thank-you letter with the receipt

Standard receipt

For a standard receipt with an integrated thank-you letter, Prodon will automatically integrate the thank-you letter into the receipt.

Word receipt

NOTE: This type of document is generally more complex than a standard Word document, so you will need a certain level of proficiency in Word to configure it correctly.

To create a Word-type receipt with an integrated thank-you letter, you must create a master document of the "Receipt" type. In this master document, simply add the merge field named "Thank-you". By adding this merge field to the master document, the thank-you letter selected for the occasion will automatically be integrated into the master document (for more details, see "Selecting the thank-you letter to be integrated into the receipt".
